PAYMENT & CANCELLATION POLICY

This policy outlines session fees, payment expectations, and cancellation requirements to ensure transparency and consistent care.
Payment Policy
Payment is due at the time of each session, unless otherwise arranged in advance.
Accepted forms of payment may include:

Credit or debit card

HSA/FSA card

Insurance, when applicable
Clients are responsible for all fees not covered by insurance, including copays, deductibles, and denied claims. A valid card may be kept on file for billing purposes.
Insurance and Self-Pay
For clients using insurance:

Insurance does not cover missed appointments or late cancellation fees.

If a claim is denied for any reason, the client is responsible for the full session fee.
For self-pay clients:

Fees are listed above and discussed prior to beginning services.
A Good Faith Estimate is available upon request, in compliance with the No Surprises Act.
Late Cancellation & No-Show Policy
Appointments are reserved specifically for you.

Cancellations must be made at least 24 hours in advance.

Appointments canceled with less than 24 hours’ notice will be charged a $75 late cancellation fee.

Missed appointments without notice will be charged a $75 no-show fee.

Late cancellation and no-show fees are not billable to insurance.
Repeated late cancellations or no-shows may result in scheduling limitations or termination of services.
Outstanding Balances
Clients are expected to keep accounts in good standing. Unpaid balances may result in:

Temporary pause of services

Termination of therapy if unresolved
Payment plans may be discussed on a case-by-case basis.
Non-Covered Services
Certain services are not covered by insurance and are billed separately, including:

Emotional Support Animal (ESA) evaluations and letters

Court-related letters or documentation
-
Reports requested by attorneys or third parties
-
Extended phone calls or coordination beyond standard care
Fees for these services will be discussed in advance.
